WebHosting4SouthAfrica(“WH4SA”, “we”, “us” or “our”) respects the privacy of customers and website visitors.
This Privacy Policy explains how WH4SA handles personal information in connection with our website and services.
WH4SA operates in South Africa and handles personal information in accordance with applicable South African privacy requirements, including POPIA.
1. Information We May Collect
Depending on how a person interacts with WH4SA, we may process:
- name;
- business/organisation name;
- email address;
- telephone number;
- physical/billing address;
- account and service information;
- billing and transaction information;
- domain registration information;
- communications and support requests;
- technical information;
- IP addresses;
- server/security logs;
- information voluntarily supplied to WH4SA.
Our customer-management system stores information including customer name, email address, telephone number, address and billing/service history where required to administer customer services.
2. Why We Use Personal Information
Personal information may be used to:
- respond to enquiries;
- create and administer customer accounts;
- provide hosting, email and domain services;
- process and administer orders;
- communicate about customer services;
- administer billing;
- register, renew or transfer domains;
- provide customer support;

3. Contact And Support Information
When customers contact WH4SA, we may process information they provide in order to respond and maintain appropriate records.
Customers should not send passwords or unnecessary sensitive information through ordinary contact forms or support communications.
4. Customer Accounts And Hosting
WH4SA processes information required to create and administer customer hosting, email, domain and related service accounts.
Hosting systems may automatically generate technical information including IP addresses, access information, errors and security logs.
5. Domain Services
Domain registration and transfer may require customer information to be provided to relevant registrars, registries or other domain-service providers.
The information required depends on the domain extension and applicable registration requirements.
6. Payments
WH4SA uses PayFast for payment processing.
Payment information entered into PayFast is processed according to PayFast's own privacy and security practices.
WH4SA does not need to receive full payment-card details where those details are submitted directly to and processed by the payment provider.
7. Cookies And Website Technologies
Essential technologies support website security, contact-form sessions, abuse prevention and your cookie preferences. They remain active regardless of your optional-cookie choice. Contact forms, domain searches, normal navigation and links to ordering services do not depend on analytics consent.
The cookie banner offers two choices and a Privacy & Cookies link to this policy:
- Accept: allow optional analytics and load Google Analytics 4 and Microsoft Clarity.
- Decline: keep essential functionality only; optional analytics libraries are not loaded.
We store your selected choice and its date in your browser's local storage for up to 180 days on this website. This preference is shared across our public website pages on the same browser and website address. Clearing browser storage, using another browser or visiting a different website address may require you to choose again. If your browser prevents storage, the choice can only apply to the current page.
You can reopen the banner using Cookie Settings in the footer on any page. You can accept, reject or change optional preferences at any time. If you turn analytics off after it has loaded, this page refreshes to stop the tracking libraries. Contact-form and domain-search text is retained temporarily in this tab's browser history for that refresh, restored only within five minutes and removed when the refreshed page initializes. We do not send that temporary draft to an analytics provider. If an enquiry is already being sent, the refresh waits for the enquiry result.
If JavaScript is unavailable, optional tracking does not load. You can also use your browser's settings to manage cookies and local storage. Withdrawing consent stops future optional tracking; it does not automatically erase information previously received by a provider. When analytics is rejected, we remove accessible first-party Google Analytics and Clarity cookies used by this site. Our code cannot remove cookies stored on another provider's domain.
8. Analytics And Advertising
With analytics consent, we use Google Analytics 4 to understand website usage, such as pages viewed, visits, device/browser information and engagement. Google processes the analytics information collected by its service, using cookies and similar technologies according to the consent signals provided.
With analytics consent, we also use Microsoft Clarity for usage analysis, including heatmaps and session recordings showing how visitors interact with pages, scroll and click. Microsoft processes this information through its service. Clarity applies its own masking controls to sensitive content; WH4SA does not add custom tracking of enquiry text or visitor contact details.
Before a choice is made, optional analytics and advertising consent signals are denied and neither analytics library is loaded. When you choose or change a preference, we update Google Consent Mode and Microsoft Clarity's consent signals to match. The same choices are offered to visitors in all locations.
No Google Ads tags are currently installed. We will update this disclosure if advertising tags are introduced.
Google and Microsoft may process information outside South Africa. For further information, consult the Google Privacy Policy at policies.google.com/privacy and the Microsoft Privacy Statement at privacy.microsoft.com/privacystatement.
9. Server And Security Logs
Web servers and security systems may automatically record technical information such as IP addresses, timestamps, requested resources, browser information and security events.
This information may be used to operate services, diagnose problems, investigate abuse and maintain security.
10. Sharing Personal Information
WH4SA may share information with service providers where reasonably necessary to provide its services.
Depending on the service, these may include:
- hosting/infrastructure providers;
- domain registrars and registries;
- PayFast;
- email/service providers;
- security providers;
- Google and Microsoft for optional website analytics when you consent;
- professional advisers;
- authorities where disclosure is legally required.
WH4SA does not sell customers' personal information.
11. International Processing
Some technology providers used to deliver online services may process information outside South Africa.
Where applicable, WH4SA will handle such processing in accordance with applicable requirements.
12. Retention
Personal information is retained only for as long as reasonably necessary for the purpose for which it was collected, to administer services, maintain appropriate business records, resolve disputes or comply with legal obligations.
Different records may therefore be retained for different periods.
13. Security
WH4SA takes reasonable technical and organisational measures appropriate to the services and information involved to protect personal information against unauthorised access, loss, misuse, alteration or disclosure.
No internet-based service can guarantee absolute security.
14. Your Personal Information
Subject to applicable law, individuals may contact WH4SA to:
- ask whether WH4SA holds personal information about them;
- request access to applicable information;
- request correction of inaccurate information;
- request deletion/destruction where legally applicable;
- object to certain processing where applicable;
- withdraw consent where processing depends on consent;
- raise a privacy concern.
WH4SA may need to verify identity before acting on certain requests.
15. Marketing Communication
WH4SA currently uses customer email primarily for billing, service administration and service-related communication.
WH4SA does not currently use customer information for general promotional email marketing.
If marketing practices change, they must comply with applicable requirements and this Privacy Policy should be updated.
16. Third-Party Websites
The WH4SA website may link to third-party websites or services.
WH4SA does not control those third parties' privacy practices. Customers should review the privacy information supplied by the relevant provider.
17. Changes To This Policy
WH4SA may update this Privacy Policy when services, technology, business practices or legal requirements change.
The current version will be published on the WH4SA website.
